Z.H. Rentals booking & rental terms

Important: this operational draft was adapted from Z.H. Rentals' historical vehicle-rental agreement and current website workflow. Insurance/CDW language, driver eligibility, cancellation terms, tax treatment and the final fee schedule still require Z.H. Rentals' legal, insurance and accounting review before public production use.

1. Reservation and confirmation

Submitting the website form creates a reservation request. The requested vehicle is not finally reserved until Z.H. Rentals confirms the booking. The daily rate used by the website is loaded from the live fleet record rather than hard-coded into this agreement.

2. Rental period and extensions

The rental begins and ends at the dates/times recorded for the confirmed booking. Extensions must be requested and approved in advance and remain subject to vehicle availability and the rate applicable to the extended period.

3. Driver documentation and authorized drivers

The renter and each approved additional driver must provide valid original identification and national driving-licence documentation and satisfy the final driver-eligibility policy. Only drivers approved on the rental record may operate the vehicle. The current system does not request a local visitor-driving-permit number.

4. Rates, levy and security deposit

The booking estimate shows rental charges and the car-rental levy separately. The working security-deposit policy is BBD $500 at the commencement of the rental unless Z.H. Rentals agrees otherwise. The security deposit is tracked separately from the rental price and may be released after the vehicle is returned, inspected and any authorized deductions are settled.

These values come from the historical contract draft and are configurable in the admin system. They should not be treated as final until reconfirmed.

6. Fuel, cleanliness and smoking

The working fuel policy is full-to-full. The renter should return the vehicle in a reasonably clean condition consistent with normal use. Smoking is prohibited in Z.H. Rentals vehicles.

8. Traffic violations

The renter is responsible for traffic violations, parking fines and other penalties incurred during the rental, together with any administration fee that is validly included in the final signed agreement.

9. Insurance, damage and CDW

Insurance coverage, renter liability, deductibles and any Collision Damage Waiver must follow the final insurer-approved terms for the specific rental. The historical contract contained CDW language, but the current system deliberately does not treat that wording as the live insurance policy until Z.H. Rentals confirms it with its insurer/legal adviser.

10. Accidents, damage and theft

The renter must notify Z.H. Rentals and the appropriate police/emergency authorities promptly, avoid admitting liability, and provide relevant third-party/witness details where safe to do so. The final agreement may contain more detailed incident procedures.

11. Digital condition reports

Z.H. Rentals may record mileage, fuel level, vehicle condition, damage notes and photographs at handover and return. These records form part of the operational rental file and can be used to support vehicle-condition and charge decisions.

12. Customer documents and rental records

The customer portal may collect nationality, passport/ID details, national driving-licence details, additional-driver information and supporting document images. Access to the admin area is restricted. The current website privacy policy is available at /privacy and remains subject to final owner/legal review before production deployment.

13. Electronic agreement acknowledgement

The software can generate a booking-specific agreement and record a typed-name acknowledgement, but electronic acceptance remains disabled unless Z.H. Rentals explicitly enables the legal-approval gate on the production server.

14. Payment, cancellation and refund policy

The current website working policy requires full online prepayment in BBD through the approved gateway and applies the cancellation/refund schedule published at /policies. Card processing is not enabled in this staging build.

15. Final agreement controls

The booking website terms support the reservation process but do not replace the final insurer/legal-approved vehicle-rental agreement. If there is a conflict, the valid final agreement accepted for the confirmed booking governs.
